QUIK GUIDE: IfA Post Docs (and other RCUH Hires): How to Register for eJournal Access

You will need a UH email account, officially called a "UH Username" account and an RCUH ID Card to access electronic journal articles available via Hamilton Library’s online subscriptions.

Following the procedures in this Guide should eliminate the 6 month wait sometimes required of RCUH employees.

To physically borrow books from Hamilton Library or to use Hamilton Library’s Inter Library Loan Service, you will need a UHM (photo) ID card and need to register the card with Hamilton Library (see item no. III below).

Please keep in mind that IfA Librarians are available to borrow books and/or make inter library loan requests for you.

I. Apply for a UH Username account ie, a UH email account [username@hawaii.edu]. [if you already have one, see item no. IV.]

Step 1. Submit an employment verification memo to the ITS Help Desk

Submit the required memo from your sponsoring UH department or office on departmental letterhead identifying you and officially requesting that you be given access to UH services and resources. You may use this Sample Memo as a guideline. Your memo should provide the following information:
  • Your full legal name (used on your employment form)

  • Month and day of your birth (mm/dd)

  • The last 4 digits of your Social Security Number or your UH Number

  • Read and agree to Executive Policy E2.210 and Chapter 708, Hawaii Revised Statutes

  • Your length of affiliation

  • The signature of the department’s dean or director

  • Your phone number so that ITS can notify you when your request is approved
Fax the memo to the ITS Help Desk at (808) 956-2108. The IfA Library office has a fax machine available if needed.

Step 2. Activate your UH Username account online [ie, your UH Email account].

ITS will call you once your application is approved [be sure you give them your telephone number].

Once approved, you can activate your account and create a password at the Managing Your UH Username page . Click on Get A UH Username! to view the Check Status of UH Username form [you will need to enter your UH Number or Social Security Number in this form].

Your account should be ready within 6-15 minutes after it is activated. However, some services are not available until 7:00 a.m. the next day.

II. Submit an RCUH ID Card Application

Step 1.
Submit an application with an attached memo
  • Fill out the top third of the RCUH Faculty/Staff ID Card Application Form. Check here for your 8-digit UH Number.

  • Submit a memo with the application signed by your Principal Investigator confirming your need for an ID Card for work related reasons, such as library research. Sample Memo.

  • Mail or Fax the application form and the memo to RCUH Human Resources [the fax number is given on the bottom half of the form] (a fax machine is available in the IfA Manoa Library office). If mailing the application, send to: RCUH Human Resources, University of Hawaii, Sakamaki Hall D-100, Honolulu, Hawaii 96822.

  • Note: ID cards are valid for 2 years from the date they are issued. They can be renewed free of charge [UH Manoa only] by submitting another UH RCUH Faculty/Staff ID Card Application form to RCUH Human Resources.

Step 2. RCUH verifies your employment status

Once RCUH verifies your employment status, they fill in the expiration date (maximum 2 years), sign the application, and then email the approved ID Card application form to you as a PDF file.

Step 3. Request an ID Card for UH-Manoa Employees:
  • ID Cards are issued at the UH Campus Center, Room 212.

  • Print out the copy of the approved ID Card application, which you received as an email attachment, take it within ONE MONTH to the Campus Center Ticket, Information and ID Office, Room 212 (near Subway’s).

  • Bring a valid photo ID (driver’s license, state ID w/expiration date, passport, etc.)

  • There is no charge for the initial ID Card
Step 3. Request an ID Card for UH-Hilo and UH-Maui Employees:
  • ID Cards are issued at the UHH Campus Center Gameroom, Room 204.

  • Print out a copy of the approved ID Card application, which you received as PDF email attachment. WITHIN ONE MONTH, take it to the Campus Center Gameroom, Room 204.

  • Bring a valid photo ID (driver’s license, state ID w/expiration date, passport, etc.)

  • The cost is $10. $5.00 will be paid by RCUH.
III. To physically borrow books from Hamilton Library or to use Inter Library Loan Service from Hamilton Library, you will need to get a UHM ID Card:

IfA Manoa employees:
  • Shuttle down to campus and get a UH Manoa (photo) ID Card

  • Fill out an ID Card Application Form (available at the ID Office, see next bullet) and/or at the ID Office website.

  • UH Manoa ID Cards are issued at the Campus Center Ticket, Information & ID Office, in the UH Manoa Campus Center, Room 212, near Subway, Monday-Friday, 8:30am-4:30pm, except holidays

  • Important: bring a valid photo ID (driver's license, state ID w/expiration date, passport, etc.)
  • Register your ID Card with the UH Manoa Hamilton Library
Option A. Register in person: For instant registration, take your UHM ID Card and a completed ID Registration Form to the Circulation Desk at Hamilton Library. Check here for your 8-digit UH Number, which is needed to fill out the form.

Option B. Register online: Complete an Online Registration form. It may take 2-3 business days to receive an email acknowledgment of your registration.
  • Select Manoa as your campus, regardless of which island you are on.

  • Put your 8-digit UH Number (from the front of your UHM ID Card) in BOTH boxes: 1) the "UH Number (required)" box, AND ALSO IN; 2) the "ID Barcode (required)" box.

  • For “Status (required)”: select "Affiliate" from the drop-down menu.
IfA Hilo and Maui employees:
  • IfA Hilo/Maui employees do not need a UHM ID Card, but do need to register with Hamilton Library.

  • To register with Hamilton Library, use “Option B. Register online” above. Check here for your 8-digit UH Number.


IV. If you already have a UH email account, ie, Username account [username@hawaii.edu] and password, but it is inactive:

Reactivate your account by contacting your authorized Campus Representative for In-Person Password Resets.
